CMMS key managementInstead of spending time looking for keys, struggling to unlock rooms or assets, or trying to determine who had access to locked areas after a problem arises, use MicroMain™ Key Tracking to better manage your keys and control access to areas or equipment. With Key Tracking, you’ll know exactly who has which keys for which areas or assets. This information, coupled with detailed key data, will help you improve security.


Easily Track Keys
With MicroMain Key Tracking you can:
• Record detailed information about each key
• Use levels of keying, including master keys
• Maintain key inventories
• Assign keys to specific areas and assets
• Issue keys to specific people

With Key Tracking, you have a system for carefully recording your keys and securing the areas or assets using those keys. Detailed information—including key name, bittings, description, status, location, and serialization, if any—is immediately available to you. You’ll also see which areas/assets are keyed-alike, so that they are operated by the same key, and which areas/assets are cross-keyed, so that they can be operated by a key for a different asset.

Your detailed records will also include the level of keying, which is the division of a master key system into hierarchies of access; for example, having the highest level of master key operate all assets in multiple buildings, next level operating all assets in a single building, and next level (change keys) operating individual assets.

It’s easy to maintain number of copies of keys in your tool inventory. Not only can you create new key records for inventory, you can also destroy tools and record lost keys. When you maintain individual key inventories, the transactions are automatically recorded in a log.

To best track keys, you can assign keys to specific vehicles, equipment, or areas, and you can issue keys to specific people. You can note the number of copies of a key that are issued to a single person; if keys are serialized (identified with serial numbers), you can issue only one copy of a key to each person.

Improve Security
With Key Tracking, you track not only keys but also keyholders. You’ll always know:
• Who has been issued which key or copies of keys
• Who last had which key
• When keys are due to be returned
• Which shop or department the keyholder is assigned to
• What kind of occupation the keyholder holds

When you issue keys to staff or others, you can specify return dates and collect deposits on keys—which helps to ensure that keys are returned on time. It’s also easy to print receipts for keys. You can also use the software to charge keyholders to replace keys that are lost or destroyed.

This level of detail regarding keys, secured areas or assets, and keyholders will help you improve security within your organization. You may also wish to institute a master key system or other hierarchical system that limits access and increases security.

Automatically Log Transactions
Every time a copy of a key is created, issued, destroyed, or lost/found, a transaction record is created in the database and stored in a log. The same transactions are also recorded for individual keyholders.

The log stores information including keyholder name, key name, quantity, serial number if any, event, date. You’ll also find information regarding any deposit/fee and receipts noted in the log.

Streamline Key Management
In addition to accurate records and transactions, you can use this software to streamline your key management. You can determine which keys are needed for which areas/assets, including multiple levels of keys in master key situations, and determine which persons are responsible for which keys.

With a streamlined key management system, you’ll be able to better control the number of outstanding keys. You can monitor unissued keys. In addition, you’ll be able to immediately access detailed active key information throughout the organization. The “Operated By” list, for example, stores the names of all keys used for specific equipment or areas. The “Also Operates On” list stores the names of all of the different assets that are also operated by a key; this list also stores the names of master-keyed assets. Numerous reports will provide additional information.
