With MicroMain software, you can look at the big picture of your facilities’ conditions and plan accordingly. Instead of continually replacing building components—or continually extending your deferred maintenance—you can look at your entire portfolio of properties and determine what work is needed now and what work is needed over the next several years.

The software is very flexible, so you can use it in the way that makes the most sense for your organization. For example, each organization will determine how it receives, processes, and uses capital requests in developing its capital plan. Standard data is included for these requests, such as requester, email, request date, location, department, and account. Status, approved date, and total estimated costs associated with the request are also included, as is notification if the request is budgeted and fiscal cycle. However, the way these requests are used will vary from organization to organization. These requests, which could be for new assets or replacement of building components, could result in multiple scenarios for consideration.

Assess Consistently
MicroMain Capital Planning is designed to help you set standards for consistent determination of and reporting of facility conditions throughout your organization. This assessment data—the information you gather about your buildings and building components— is stored in a central database, eliminating the various silos of disparate data found in many organizations.

To help you assess consistently, the software is pre-loaded with standard:

This comparative score is created by taking the component class (such as Energy or Safety Compliance) value and adding it to the component rating (such as Poor or Good) value. The rating/class score then determines a priority (from 1 to 10), which indicates the urgency of the action required and suggested years to advance in the capital plan.
By consistently assessing the current condition of your buildings and assets, you can easily catalog both immediate maintenance needs and deferred maintenance needs. You can then prioritize your deferred needs and estimate work and costs needed to perform a requested service on a building component. Cost estimates contain information about the service, such as where and how it is to be completed; who is supposed to do it; any supplies needed; and an estimation of the cost. The cost estimates then help determine your capital plan.

Reduce Costs for Maintenance
By taking a good look at the current condition of your buildings and components, including building infrastructures and utilities, you will be able to plan appropriately for maintenance repairs. A major consideration is your Facility Condition Index (FCI), which is the industry-standard measure of the current condition of a facility.

MicroMain automatically calculates the FCI for you. This figure—reflecting the cost of deferred maintenance divided by the current replacement value—helps you determine whether you should repair or replace the building or its components.
By planning for future, you’ll know whether or not you should provide non-urgent maintenance for buildings or assets that are going to be replaced within a specific period of time. You’ll also be able to budget for maintenance that will need to take place within the next year or several years. Emergency repairs, and their attendant higher labor and part costs, can be avoided or reduced with the help of capital project prioritization and budgets.

Track Planned Work
Once you develop your capital plan and know what work needs to be done, you can use your data and MicroMain’s Maintenance Management software to track the progress of that work. You can monitor work orders and costs related to the capital project. In addition, you can keep a live tally of estimated and actual costs within the capital planning software.
